This policy explains what information we collect when you visit or contact us through this website, how we use it, and the choices you have. Protected health information is covered separately by our Notice of Privacy Practices.

1. Scope of this policy

This policy does not govern protected health information. Once you become a patient, information created or received in connection with your care is protected health information governed by the Health Insurance Portability and Accountability Act (HIPAA) and, because we provide substance use disorder treatment, by the federal confidentiality regulations at 42 C.F.R. Part 2. Those practices are described in our Notice of Privacy Practices, which controls over this policy wherever the two might otherwise conflict.
This policy also does not apply to websites operated by other organizations that we link to, or to information you provide directly to an insurer, employer, referral source, or other third party.
2. Information we collect
Information you give us
We collect information you choose to submit through forms and calls on this site. Depending on the form, that may include:
- Insurance verification requests: your name, date of birth, phone number, email address, insurance carrier, member or policy identifier, the person seeking treatment and your relationship to them, and anything you type into a free-text field.
- Contact and callback requests: your name, phone number, email address, preferred contact time, and the message you send us.
- Calls and text messages: the phone number you call or text from, the date, time, and length of the contact, and the content of the conversation.
Please do not send detailed clinical or medical history through a website form or text message. Give us only what is needed to reach you, and we will take the rest of the conversation to a secure channel.
Information collected automatically
- Device and connection data, including IP address, browser type, operating system, device type, and general geographic area inferred from IP address.
- Usage data, including the pages you view, the time and duration of your visit, the links you click, and the page or search that referred you.
- Cookie and similar identifiers set by us or by the vendors named in Section 4.
- Call-tracking data, including which phone number was displayed to you and which page or marketing source your visit came from.
3. How we use information
We use the information described above to:
- Respond to your inquiry, return your call, and answer questions about admission.
- Check benefits with your insurance carrier when you ask us to verify coverage.
- Operate, secure, and improve this website.
- Measure which pages and marketing sources produce inquiries, in aggregate.
- Detect and prevent fraud, abuse, spam submissions, and security incidents.
- Comply with legal, regulatory, licensing, and accreditation obligations.
We do not use website information to make automated decisions that produce legal or similarly significant effects about you.
4. Cookies, analytics, and advertising technologies
Cookies are small files stored by your browser. We use strictly necessary cookies to make the site work, and we use the following vendors for measurement and call attribution:
- Google Analytics 4 (Google LLC) — aggregate website traffic and usage measurement.
- CallTrackingMetrics — dynamic display of tracking phone numbers and attribution of calls and form submissions to the page or campaign that produced them.
We do not share substance use treatment–related information with advertising platforms. We do not place advertising or social media retargeting pixels that would transmit information about your visit to pages about addiction, mental health, or treatment to an advertising network.
Most browsers let you refuse or delete cookies through their settings, and you can opt out of Google Analytics using the browser add-on Google provides. Blocking cookies may affect how parts of this site function. We honor Global Privacy Control and similar browser-level opt-out signals where required by law.
5. Call recording and monitoring
Calls to and from our admissions line may be recorded, transcribed, or monitored for quality assurance, training, and compliance purposes. If a call is being recorded you will be notified at the start of the call, and you may ask that recording be stopped or decline to continue. Recordings are treated as confidential and, where they relate to a patient or a person seeking treatment, are handled under HIPAA and 42 C.F.R. Part 2 as described in our Notice of Privacy Practices.
6. Text messaging (SMS) terms
If you provide your mobile number and opt in, we may send text messages related to your inquiry.
- Message types: admissions follow-up, appointment and intake scheduling, insurance verification updates, and customer care replies.
- Frequency: message frequency varies based on your conversation with us.
- Cost: Message and data rates may apply.
- How you opt in: you consent to receive text messages by entering your mobile number and checking the consent box on a form on this site, by texting our published number first, or by verbally agreeing during a call with our admissions team.
- Consent is not a condition of treatment. You are not required to agree to receive text messages in order to be admitted to, or to receive, any service from us.
- To stop: Reply STOP to cancel. You will receive one confirmation message and no further messages.
- To get help: Reply HELP for help, or call us at (254) 998-3280.
- Carriers are not liable for delayed or undelivered messages.
Phone numbers obtained as part of the SMS consent process will not be shared with third parties for marketing purposes.
7. How we share information
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share information only as follows:
- Service providers under contract — website hosting, form processing, call tracking, analytics, and secure communication vendors, each bound by contract to use the information only to provide services to us, and by a business associate agreement where protected health information is involved.
- Insurance carriers and their agents — only the information needed to verify benefits, and only when you ask us to verify coverage.
- Legal and safety — when required by law, subpoena, or court order, subject to the stricter conditions that 42 C.F.R. Part 2 imposes on substance use disorder records, or when necessary to protect the safety of a person.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to the protections described in this policy and applicable law.
8. How long we keep information
We keep website inquiry information for as long as needed to respond to you and to meet our legal, regulatory, accreditation, and record-retention obligations, and then delete or de-identify it. Analytics and call-tracking records are retained under each vendor’s configured retention period. Clinical records are retained under the separate schedules that apply to medical records in Texas and under federal law.
9. Security
We use administrative, technical, and physical safeguards intended to protect the information we hold, including encryption of form submissions in transit and access controls limiting who can view inquiry data. No website, transmission method, or storage system is completely secure, and we cannot guarantee the security of information you send us over the internet or by text message. If you believe your interaction with us is no longer secure, contact us using the details in Section 14.
10. Children
This website is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13 through this site. If you believe a child under 13 has provided information through this website, contact us and we will delete it. Information about minors who are patients is handled under HIPAA, 42 C.F.R. Part 2, and Texas law governing consent and access by parents and guardians.
11. Your privacy rights
Depending on where you live, you may have the right to request access to the personal information we hold about you, to request correction or deletion of it, to obtain a portable copy, to opt out of the sale or sharing of personal information or of targeted advertising (we do not engage in these), and to not be discriminated against for exercising a privacy right. Texas residents have these rights under the Texas Data Privacy and Security Act.
To exercise a right, contact us using the details in Section 14. We will verify your identity before acting on a request and will respond within the time required by applicable law. You may designate an authorized agent to make a request on your behalf, and you may appeal a denial by replying to our response.
Important limitation: these website privacy rights do not apply to information governed by HIPAA or 42 C.F.R. Part 2. Requests concerning your treatment records are handled under the separate, and in most respects stronger, rights described in our Notice of Privacy Practices.
12. HIPAA and 42 C.F.R. Part 2 cross-reference
The fact that a person has sought or received substance use disorder treatment is itself protected. Under 42 U.S.C. § 290dd-2 and 42 C.F.R. Part 2, we may not tell an outside party that someone is or has been a patient here without written consent or another narrowly defined legal basis. Our full obligations, and your rights over that information, are described in our Notice of Privacy Practices.
13. Changes to this policy
We may update this policy. The current version is always posted on this page with its effective date. Material changes will be noted here, and continued use of the site after an update means you accept the revised policy.
